How we work together & shared agreements

“Building a city festival takes serious energy. We want to enjoy the process and hit our targets. That means we hold ourselves to a high standard. These agreements keep us moving forward. They ensure we actually look out for each other.”

Time commitment

  • We commit to one full edition from the prep phase all the way to the final post evaluation.
  • We expect to spend 2 to 4 hours a week on our tasks.
  • We scale this workload up to 6 hours in the two months before the festival.
  • We meet every two weeks in the evening for a working session and meeting.
  • We hold these meetings weekly in the final 2 months before the event.
  • We are highly available during the actual festival week after our regular working hours and on the weekend.

Ownership and execution

  • We own every task we take on until it is completely finished.
  • We set our own deadlines and respect them.
  • We acknowledge that getting stuck happens to everyone.
  • We do not hide or wait for a miracle.
  • We ask the team for help immediately and drive the task until it is resolved.
  • We log our progress continuously in our shared Notion workspace.
  • We ensure the rest of the team can pick up our work without guessing if we get sick or have an emergency.

Communication

  • We reply to team messages within 48 hours.
  • We drop an emoji reaction so the team knows we read a message.
  • We tell the team in advance if we go off the grid for a holiday and hand over our tasks.
  • We provide input when the team asks for it.

Culture 

  • We bring a positive and supportive attitude. 
  • We give honest feedback and are entirely open to receiving it ourselves.
  • We step in and help a team member when we see them drowning in work.
  • We are actively building a financially strong organization so we can eventually compensate our core members for this exact effort.
